Bodywork is not run like fast-fit mechanics. Where a routine service comes in one morning and leaves that evening, a body shop file stretches over several days: assessment, detailed estimate, waiting for approval, parts on order, panel work, preparation, paint, refitting, inspection. Meanwhile the vehicle occupies a space, the customer calls to ask where things stand, the insurer asks for one more document, and a part arrives in the wrong shade. Every interruption is a place where the file can lose a piece of information — and where the workshop loses margin without ever being able to say exactly where. Body shop software is not primarily about producing prettier estimates: it is about a file opened on Monday still being complete on Friday, after five different people have touched it. This article sets out what is specific to bodywork, what gets lost there, and what a tool has to cover for a Moroccan workshop.
What makes a body shop file different
Three characteristics set bodywork apart from the rest of the workshop. The first is duration: the vehicle stays, often a week or more, and the downtime itself becomes a cost — a space taken, a customer without a car, pressure on the deadline. The second is the number of people involved: the estimator, the panel beater, the preparer, the painter and the fitter work in turn on the same file, and each needs what the previous one recorded. The third is the third-party payer: when an insurer is involved, the approved scope is no longer the one the customer asked for, and you need to know at any moment what is covered, what remains at their expense, and what has been validated.
All three have the same consequence: information must survive time and change hands without degrading. A pad left on the vehicle's wing does not do that. Even less so given that bodywork generates a lot of attachments — photos of the damage at check-in, part references, paint codes, delivery notes — none of which belongs in a notebook.
The estimate: where margin is decided before the work starts
In a body shop the estimate is not a commercial guess, it is a technical document. It lists the panels to replace and those to repair, panel and paint times, paint materials, parts with their references, and it separates what belongs to the accident from what belongs to wear. An estimate produced quickly, without exploratory stripping, is almost always wrong — and the gap surfaces mid-job, at the worst possible moment.
The critical point is the supplementary estimate. The panel beater strips the car, finds a damaged chassis rail, and the scope changes. If that supplement is not formalised, approved and dated before work resumes, the workshop risks working without approval — and finding out at invoicing. Useful software is software that makes this step natural rather than laborious: the supplement is created from the file, sent, and the answer stays attached to it. The logic is the same as the repair order in mechanics (The repair order: the document that decides a garage's margin), with heavier financial stakes because the amounts are larger.

- Formalise every supplementary estimate before work resumes, with its validation date.
- Attach check-in photos to the file: they are the only proof of condition on arrival.
Parts: the main driver of downtime
In a body shop it is almost never labour that stretches downtime, it is parts. A reference ordered late, a part delivered non-conforming, a shade to redo: every incident adds days during which the vehicle takes up a space without producing. Tracking must therefore cover three distinct states rather than one: what is in stock, what is on order and expected, what has arrived and is reserved for this file.
That distinction is what is most often missing. A workshop tracking only “in stock / not in stock” cannot answer the question that matters: do I have everything I need to start refitting this vehicle on Monday? Answering means cross-checking the file's parts list against their real state, part by part. Done by hand, that check takes time and is therefore rarely done; done by the tool, it becomes a screen. Scheduling: filling the bays without choking them
A body shop has not one bottleneck but several: panel work, the spray booth, the preparation bay, refitting. Loading the first without looking at the next produces a predictable jam — stripped vehicles waiting for the booth, taking up space and blocking new files from coming in. Scheduling must therefore think in terms of bay and stage, not of vehicle.
It is also what lets you answer honestly on lead time. A customer told five days because that is the actual working time, when the booth is taken for three, will leave unhappy. A workshop that can see its load per bay quotes a lead time it can hold — and holding it is worth more, over time, than an optimistic promise.
